A growing hiring pipeline creates two different problems: keeping candidate records organized and making a defensible decision about who should advance. An applicant tracking system can help with both, but a team still needs clear stages, useful interview questions and an owner for each handoff. Buying software before defining that process often produces a more expensive version of the same confusion.
Greenhouse, Lever, Ashby, Workable and Breezy HR approach recruiting with different combinations of structure, relationship management, analytics and broader HR tools. This comparison uses official product and pricing sources checked on October 9, 2026. It is a buying guide based on published capabilities, not a claim that we tested hiring outcomes or measured recruiter productivity.
Define the hiring process before the shortlist
Start with one realistic vacancy: who approves it, where applicants arrive, how interview feedback is collected and who communicates the decision. Separate requirements for active applicants from nurturing people who may apply later. For the scheduling layer around interviews, our meeting scheduling comparison explains a related decision. A booking link alone does not provide the candidate record, evaluation history or hiring reporting of an ATS.
The quick difference
| Product | Best fit | Useful strength | Buying boundary |
|---|---|---|---|
| Greenhouse | Structured hiring across teams | Interview kits, scorecards and governance | Quoted Core, Plus and Pro packages |
| Lever | Recruiting relationships and pipelines | ATS and recruiting CRM together | Custom quote and optional modules |
| Ashby | Recruiting with detailed analytics | Scheduling, sourcing and reporting | Company-size tiers; analytics-only option differs |
| Workable | Recruiting with optional HR scope | Job pipelines and hiring coordination | Company size, bundles and AI credits |
| Breezy HR | A small team establishing its pipeline | Visual stages and collaborative hiring | Free position and history limits; paid add-ons |
Greenhouse
Greenhouse deserves a place on the shortlist when consistency across hiring teams matters. Its current pricing page organizes the service into Core, Plus and Pro. Core lists interview kits, scorecards, scheduling and reporting alongside sourcing CRM capabilities. These tools can support an agreed evaluation process rather than leaving each interviewer to invent a different record.
Plus expands areas such as sourcing automation and access to a business intelligence connector. Pro adds controls including audit logs and a developer sandbox. The practical strength is the progression from a shared recruiting process toward more demanding administration. The limitation is that a feature mentioned somewhere in the product portfolio may belong to a higher package.
Pricing is quote-based. Ask the vendor to identify the actual package, included integrations, implementation work, currency and contract term. Bring a sample scorecard and a report you need to produce. Greenhouse is worth evaluating for structured hiring, but the software cannot decide whether your interview criteria are relevant or whether feedback is sufficiently specific.
Lever
Lever combines applicant tracking and a recruiting CRM. That is useful when recruitment includes an ongoing relationship with prospects rather than only processing applications to open jobs. Its official material describes sourcing, nurturing, scheduling and reporting within the recruiting workflow. A candidate who is unsuitable for one vacancy may remain relevant to a later search if the team maintains an appropriate record.
The current offering includes AI-related capabilities and optional modules, including Candidate Insights and onboarding. Treat those as separate scope questions rather than assuming every quoted subscription contains the entire portfolio. In a demonstration, ask how a prospect moves into an application and whether communication history remains understandable to the next recruiter.
Lever does not publish a dependable universal subscription price on the reviewed page. Quotes depend on factors such as team size, hiring volume and features. Confirm currency, renewal terms, integrations and implementation support in writing. Its relationship-centered approach is attractive, but a team that rarely sources or nurtures prospects should decide whether that additional workflow is actually needed.
Ashby
Ashby brings applicant tracking, sourcing, scheduling and analytics into its All-in-One product. Its reporting emphasis makes it particularly relevant when recruiting leaders need to understand pipeline stages and workload in more detail. The value of that visibility depends on consistent stage definitions and complete records; a sophisticated report still reflects the information entered into the system.
The reviewed pricing page positions Foundations for companies with up to 100 employees, Plus for 101–1,000 and Enterprise for larger organizations. It also offers a standalone Analytics product for teams keeping an existing ATS. Buying analytics alongside another system is a different decision from replacing the ATS with All-in-One.
Foundations has a public subscription display, while larger packages are quoted. Usage allowances and paid extras also matter, including sourcing email lookups. We omit a universal numeric price because a buyer needs the relevant size tier, commitment and currency confirmed together. Ask the vendor to reproduce a funnel report using representative stages and explain how a migration preserves historical reporting.
Workable
Workable is worth considering when the buyer wants recruiting tools and may also need broader HR capabilities. Its recruiting offering includes configurable pipelines, interview kits, scorecards, scheduling and reporting. The current pricing page distinguishes Standard, Premier and Enterprise and presents company-size and bundle choices. A small-company price display should not be treated as the cost for a much larger employer.
Texting, video interviews and assessments have different inclusion rules across packages. Workable Agent introduces another boundary: AI usage uses credits, with different actions consuming different amounts. A subscription comparison that ignores those credits can understate the cost of a heavily automated workflow.
Ask for a quote tied to your employee band and the specific recruiting or recruiting-plus-HR scope. Record billing currency, annual commitment and optional services. Workable’s breadth can reduce separate purchasing decisions, but evaluate the ATS workflow on its own merits. Extra HR functions are useful only when someone will administer them and the existing employee systems have a clear integration plan.
Breezy HR
Breezy HR offers a relatively approachable starting point for organizing hiring stages. Its free Bootstrap plan permits one active position or candidate pool and unlimited users, but access is limited to candidates added in the last 30 days. That history restriction is important: the free plan should not be described as an unlimited long-term candidate database.
Paid Startup, Growth and Business subscriptions expand the workflow. The reviewed matrix lists capabilities such as custom pipelines and scheduling, with interview guides, scorecards and other collaboration features varying by tier. This makes Breezy worth evaluating for a team that wants to establish a repeatable process without beginning with an enterprise procurement exercise.
Monthly and annual billing differ, and additional services such as intelligence credits or texting can add cost. Confirm the applicable currency and exact plan at checkout. The free entry point can help demonstrate the interface, but evaluate a realistic history requirement and several simultaneous vacancies before deciding that it covers ongoing hiring.
Compare operating requirements, not feature counts
Make feedback usable. Define the evidence an interviewer should record and when it is due. Ask each vendor to show incomplete feedback, a changed interview panel and a candidate who moves between vacancies. Those ordinary exceptions reveal more about the workflow than a perfectly prepared demonstration.
Budget the complete recruiting cycle. Include sourcing, interview coordination, assessments, texting, integrations and implementation where relevant. Ask whether fees depend on employees, recruiters, jobs or usage. Keep the currency and contract duration next to the amount; an annual monthly equivalent is not a monthly cancellable subscription.
Establish record ownership. Decide who can change stages, export candidate data and correct duplicated records. Review retention settings and organizational requirements with the appropriate internal owner. These are operational questions for the buyer, not evidence that one vendor automatically satisfies every employer’s obligations.
A practical evaluation checklist
- Create one vacancy with two interview stages and several distinct evaluator roles.
- Move a sourced prospect into the application process and inspect the communication history.
- Reschedule an interview and verify the candidate and panel receive the intended update.
- Export a small set of sample records and reproduce a pipeline report.
- Obtain a dated quote showing package, currency, commitment, implementation and usage extras.
Choose according to the hiring job
Shortlist Greenhouse for structured evaluation and governance, Lever for recruiting relationships, Ashby for an integrated workflow with detailed analytics, Workable for recruiting with potentially broader HR scope, and Breezy HR for a smaller team establishing its pipeline. All five are presented here as hosted services. Do not assume an on-premises deployment from the availability of an integration or an enterprise package. Choose the process your team can maintain reliably.
