A useful digital whiteboard lets a group think together and leaves behind a decision someone can use. The challenge is rarely drawing a sticky note. It is helping participants find the right area, contribute without disrupting others, compare ideas and turn the result into work after the meeting ends.
Miro, Mural, FigJam, Lucidspark and Whimsical provide shared visual workspaces, but place different emphasis on workshop facilitation, design adjacency and structured diagrams. This is a collaboration decision rather than a tool for finished campaign graphics. Our graphic design comparison covers that separate output.
Choose the workshop before the canvas
Start with a real activity: mapping a customer journey, reviewing a proposed workflow or agreeing on priorities. List who facilitates, who contributes and who only needs the result. A canvas can feel effortless to its creator while confusing a guest who opens it for the first time during a meeting.
Also define what survives the session. Some groups need a visual record; others need a maintained diagram or tasks transferred into a delivery system. A whiteboard complements your project management software only when ownership and handoff are clear.

Miro
Miro offers a managed visual canvas spanning whiteboards, diagrams and other collaborative formats. Its template and integration ecosystem is useful when different departments want one environment for workshops, planning and process discussion. That breadth can reduce tool switching, provided the team keeps its boards understandable.
The current Free plan permits three editable boards. Starter adds unlimited private boards, visitor editing and facilitation tools such as timer and voting. Business adds features including signed-in guests and single sign-on. Those distinctions matter when clients or partners regularly participate, rather than merely view an exported image.
Paid pricing is per member with monthly and yearly options. AI functions have credit allowances that vary by plan, so they are not an unlimited entitlement attached to every seat. Confirm the exact sharing permissions and membership model before estimating a workshop’s cost from participant count.
Miro suits teams that need several visual formats and connections to existing work tools. In a trial, prepare one modest board and invite a first-time participant. Watch whether they can navigate, contribute and find the final decision. Breadth is helpful only when it does not overwhelm the activity.
Mural
Mural emphasizes group facilitation alongside its visual canvas. The current product describes timers, voting, private mode, facilitator controls and instructions. These functions are relevant when a workshop needs participants to work independently, regroup at a particular point and compare contributions in a deliberate sequence.
Its Free plan allows three editable murals at a time and includes visitors with view-only rights. Team+ adds visitor editing and private rooms. Business adds registered external guests and single sign-on. Guests and visitors are different access arrangements, so the names should not be treated as interchangeable free collaborators.
The USD Team+ price currently distinguishes USD 9.99 per member per month billed annually from USD 12 with monthly billing. Enterprise arrangements add further administration and security scope. Choose the package using the actual sharing and governance requirement rather than assuming every facilitation feature requires the highest tier.
Mural belongs on the shortlist for facilitated workshops with a clear session structure. Have the facilitator move participants through an exercise, collect private ideas and run a prioritization step. Also inspect what a visitor can access after the session ends, especially when the board contains client information.
FigJam
FigJam is Figma’s collaborative digital whiteboard. Its main appeal is proximity to the product-design workflow: a team can discuss ideas in an environment connected to the tools its designers already use. That can make early exploration and later design review feel less disconnected without requiring every participant to become a designer.
Figma now prices by plan and seat type. Collab seats serve collaborative products including FigJam, while Full and Dev seats cover different needs. Viewing and commenting on paid plans can be available without purchasing another editing seat. The right seat therefore depends on the action a person needs to perform.
The limitation is confusing whiteboard access with access to the rest of Figma. A FigJam-focused colleague does not automatically need the same paid seat as a designer, and a seat selected for another product should be checked for its actual collaborative entitlement. Organization-level controls also vary by plan.
FigJam is a useful candidate for product teams already working in Figma. Bring a designer, an engineer and an external stakeholder to the evaluation. Confirm that each can perform the intended activity with the proposed seat and sharing arrangement, then inspect how the outcome remains connected to the later design decision.
Lucidspark
Lucidspark supports brainstorming and collaborative whiteboarding, with facilitator controls, breakout boards, presentation tools and voting among its described capabilities. It is relevant when a team wants to start with freeform ideas and work within the wider Lucid visual-collaboration ecosystem as those ideas become more structured.
Lucid distinguishes Free, Individual, Team and Enterprise plans. The Enterprise suite combines Lucidspark and Lucidchart, but a paid subscription to one product should not be assumed to upgrade the other automatically. The official plan table is more useful than a generic Lucid account label when checking access.
The pricing application did not expose a dependable numeric rate in the source view used for this comparison. Confirm the current product-specific quote, currency and billing period instead of borrowing an older rate. Check which facilitation and administration capabilities are available on the precise proposed account.
Lucidspark suits teams that value a connection between collaborative ideation and formal visual documentation. Trial a breakout activity and assemble the group’s result into a shared view. If Lucidchart is also required, demonstrate that handoff and price both tools deliberately rather than discovering a second entitlement requirement after purchase.
Whimsical
Whimsical focuses on product-oriented visual work such as diagrams, flowcharts, mind maps and wireframes. Realtime editing and comments let a team discuss the structure of a proposed flow where the work is visible. It fits groups whose whiteboard sessions frequently end in a clearer diagram or interface outline.
The current Free plan limits newly created board objects to 50 per month and doc blocks to 50, with watermarked exports and seven-day version history. Unlimited boards therefore should not be read as unlimited object creation. Paid Pro expands creation allowances and history, while Business adds further controls.
Viewers and guests are described as free, while paid plans bill editors. Monthly and annual billing options differ. Business features such as private teams and single sign-on need separate review. Check both licensing and access before assuming that anyone invited into a workspace can edit every file.
Whimsical is a reasonable shortlist for product builders prioritizing flows and wireframes over a broad workshop platform. Bring one ambiguous process and ask participants to clarify it together. Evaluate how easily someone can revise the structure, leave a useful comment and recover an earlier version after a mistaken change.
How to choose a digital whiteboard
Run the same short workshop in each candidate, with a facilitator and several first-time participants. Include an external guest if your normal process does. Give people a clear goal and observe whether they can contribute without constant navigation instructions. Familiarity among experienced internal users can hide friction for occasional attendees.
Evaluate the board on a smaller screen and with keyboard navigation as well as a large desktop display. Dense canvases require care regardless of vendor. Test whether an exported or shared result is understandable after the session, including where the decision is recorded and which actions have owners.
Then model access over time. One-time visitors, persistent external guests, internal viewers and paid editors may have different entitlements. Check link sharing, offboarding and private workspace boundaries. Do not select a cheap entry plan and leave client workshops dependent on broad public sharing.
Price the ongoing working group, required administration, storage or history, AI allowances and integrations. Preserve currency and billing commitment, and distinguish a monthly equivalent paid annually from month-to-month billing. A successful pilot should show how a useful board stays organized after several weeks of activity.
Selection checklist
- Use one real workshop with first-time internal and external participants.
- Test navigation, facilitation, contribution and decision capture.
- Check guest, visitor, viewer and editor permissions separately.
- Verify history, export and handoff into the next work system.
- Confirm seat type, billing term and plan-specific governance.
