Electronic signature software removes a paper handoff, but the larger decision is how a document becomes an approved, traceable agreement. A team sending finished PDFs needs a different workflow from a sales organization building proposals, collecting approvals and generating documents from another application. Comparing only the visible monthly price can obscure those differences.
Docusign, Adobe Acrobat Sign, Dropbox Sign, PandaDoc and SignNow all address electronic document signing, with different product boundaries and commercial models. This review uses official sources checked on October 6, 2026. It compares workflow fit and purchasing questions, without claiming hands-on tests or deciding whether a particular signature meets the legal requirements of your transaction.
Separate signing from the document workflow
Write down where the document originates, who may change it, who approves it and where the completed record goes. An uploaded PDF may need only fields and reminders. A sales proposal may need reusable content, pricing, internal approval and a connection to the customer record. These requirements should be evaluated separately rather than bundled into a vague request for contract automation.
Also distinguish a web application subscription from API or embedded signing. A plan allowing a person to send documents may have different allowances from an application generating them automatically. Docusign provides reusable templates, signing workflows and an audit trail, with broader agreement capabilities available through its IAM offerings. Personal lists five envelopes per month; the reviewed Standard and Business Pro annual plans list 100 envelopes per user per year. An envelope can contain multiple documents and signers but counts toward the allowance when sent, even if it is never completed.
The strength is a structured signing process that can expand into wider agreement management. The limit is the commercial package. Official pages returned different offers: the product page showed USD 25 per month for Standard paid annually, while the reviewed commerce page showed USD 30 per user per month on an annual commitment billed monthly. These are distinct payment offers, not interchangeable prices.
Ask for the exact offer, included envelopes, additional-send rate and authentication charges. Test a document with two signers, a correction and a declined request. Inspect which version survives and what the exported completion record contains before deciding that the subscription fits your volume.
Adobe Acrobat Sign
Adobe distinguishes Acrobat’s PDF and signature features from Acrobat Sign Solutions. The latter is presented for workflows needing integration with business systems, advanced signer authentication and standardized automation. Its business pricing page directs buyers to sales for Sign Solutions rather than supplying a universal public seat price.
The advantage is evaluating signing as part of a broader document process. The limitation is product naming: an Acrobat Pro subscription includes a subset of signing features and should not be priced as though it were the full Sign Solutions package. Specify transaction allowances, integrations and the required authentication method in the quote, including currency and commitment.
Shortlist Adobe when document preparation and enterprise workflow integration are central. Bring an existing PDF, route it through the intended approval process and retrieve the signed record from the destination system. Ask which steps require Sign Solutions, which are provided by Acrobat and who owns the connection between them.
Dropbox Sign
Dropbox Sign focuses on sending prepared documents, applying signer fields, reusing templates and tracking requests with audit history. The web subscription page advertises unlimited signature requests, while its separate API offering has its own commercial terms. Premium is quotation-based, and smaller plans distinguish individual use from team administration.
The strength is a focused signing workflow for organizations that already produce their documents elsewhere. The boundary is what the web subscription’s unlimited request language actually covers. Do not carry that allowance over to embedded or API-generated transactions. The pricing page also displayed promotional and standard USD amounts together during review, so a single discounted figure would be an unreliable purchasing baseline.
Evaluate template reuse, reminders and the recipient’s experience on a phone. Ask an administrator to transfer a template to another employee and retrieve a completed request. Confirm the team minimum, final annual total and integration entitlement in the checkout or written offer before comparing it with another service’s envelope model.
PandaDoc
PandaDoc combines document creation, rich-media editing, signatures and tracking. Business adds capabilities including approval workflows, content libraries and sales integrations, while Enterprise supports a wider commercial configuration. The pricing table lists Starter at USD 19 and Business at USD 49 per seat per month billed annually.
Its strength is treating the proposal and agreement as one workflow. Its limitation is separating interactive use from automation: API and automated document creation can require usage credits or paid add-ons. The reviewed page also contains inconsistent language, advertising unlimited UI documents while its FAQ discusses document limits and additional-document fees. This review does not infer an unlimited allowance across every plan and workflow.
Ask PandaDoc to reconcile those terms for your exact offer. Then evaluate a proposal with an internal approver, a revised price and a customer signature. Confirm that the approved version, rather than an earlier draft, is the one sent, and inspect how automated generation behaves when credits are exhausted.
SignNow
SignNow describes reusable templates, multistep signing, audit records, conditional fields, bulk workflows and an API for embedded use. These capabilities make it worth evaluating when prepared documents need repeatable fields and routing rather than a full proposal-writing environment.
The commercial evidence needs care. The main pricing link redirected to a checkout application that did not return a readable price table in this review. A vendor information page advertises USD 8 per user per month billed annually but also combines per-user wording with claims of unlimited users at no extra cost. We have not treated that wording as a confirmed team price or unlimited sending allowance.
Request a written offer stating sender licenses, annual invite limits, additional invites and the API entitlement. In a trial, exercise a conditional field, a role-based signature step and an exported record. Shortlist on the resulting workflow and documented terms; avoid purchasing on a low headline figure whose usage definition remains unresolved.
How to evaluate the complete agreement journey
Create a representative document pack with no real confidential data. Include a short agreement, a document needing two sequential signers and a proposal that changes before approval. Use the same pack in every trial. Have someone unfamiliar with the platform complete the recipient steps on a phone and note where instructions or field labels are unclear.
Test exceptions, not just the successful path. Ask what happens when a signer uses the wrong address, declines, leaves the organization or needs a corrected document. Decide which person may resend or void a request and how the recipient learns that a version changed. These questions reveal whether the workflow can be operated consistently under ordinary pressure.
Define the evidence you must retain with the people responsible for your records. Check that completed documents, timestamps and the available audit record can be exported and associated with the correct customer or project. A platform’s general compliance description does not decide the suitability of every authentication method for every agreement. Obtain an assessment for the specific jurisdiction and transaction where necessary.
Price senders, document or envelope units, automated generation, identity checks, message delivery and storage separately. Show the annual total as well as the monthly equivalent. Count unsuccessful and corrected sends according to each vendor’s rule, and ask whether allowances are pooled, expire or trigger automatic additional charges. A monthly installment under an annual commitment is not the same as a cancelable monthly subscription.
Finally, rehearse integration failure. Generate a request from a test customer record, interrupt the connection and inspect how duplicate sends are prevented. Confirm who notices a failure and how the completed record is reconciled.
