A help desk becomes valuable when a customer question needs an owner, a deadline and enough context to resolve it without another round of explanation. The difficult buying decision is which system can support that process as channels, agents and automation expand. A low entry price can describe email ticketing while the workflow you actually need requires a different edition and additional usage charges.
Zendesk, Freshdesk, Help Scout, Intercom and Zoho Desk take different approaches to this problem. This comparison focuses on agent collaboration, routing, knowledge and the cost boundaries around AI. It uses official information checked on October 6, 2026, together with editorial evaluation questions; it does not report hands-on tests or measured resolution improvements.
Define the support workflow before comparing plans
Separate customer support from internal IT service management. Start with the channels customers use today, the people who can answer and the cases requiring escalation. Then identify whether a shared inbox is sufficient or whether you need structured ticket fields, multiple queues, service targets and controlled access. Buying a broad suite before defining these requirements makes both the trial and the eventual invoice harder to interpret.
Customer context is another boundary. A help desk may show a conversation history, but your sales team may still own account information elsewhere. Zendesk
Zendesk separates its email-focused Support offering from the broader Suite. The pricing page lists Support Team at USD 19 per agent per month paid yearly and Suite Team at USD 55 on the same basis. Suite adds messaging, a knowledge base and omnichannel routing; higher editions add capabilities such as skills-based routing, approval workflows and custom roles.
Its strength is a path from core ticketing to a more governed support operation. The limitation is that the lowest seat price does not represent every channel or administrative requirement. AI uses automated resolutions, and add-ons and consumption can increase the bill. Ask for a quote matching your exact routing and governance needs.
For evaluation, trace one customer issue from email through a specialist handoff and back to the customer. Have an administrator change the routing rule and explain who may approve that change. This is a better shortlist exercise than accepting an automation demonstration with perfectly prepared knowledge and no exceptions.
Freshdesk
Freshdesk combines ticketing, a shared inbox, a customer portal, knowledge and reporting. Its Growth plan is listed at USD 19 per agent per month billed annually, with Pro and Enterprise adding more advanced capabilities. Threads and linked tasks are useful when a support agent needs work from another person without turning the customer conversation into an internal discussion.
The billing boundary deserves attention: the first 500 Freddy AI Agent sessions are a once-per-account trial allowance, not a recurring monthly entitlement. Additional sessions are advertised at USD 49 per 100; connector tasks and other actions have separate allowances or charges. Freshdesk defines an email AI session around a 72-hour interaction window.
Shortlist Freshdesk when you want structured support and a clear collaboration model. In a trial, give a billing question and a technical incident different owners, then inspect the linked work and customer-facing reply. Ask what happens when the session allowance expires and whether a human takeover remains straightforward.
Help Scout
Help Scout emphasizes customer conversations, shared inboxes and Docs knowledge bases. The current paid structure uses user seats, while the Free plan lists five users, one inbox and one Docs site. Paid tiers distinguish basic from advanced workflows, routing, service policies and identity controls. AI Answers is an additional resolution-based service, advertised at USD 0.75 per resolution with monthly charging.
The strength is a conversation-centered workspace for teams that want collaboration without losing the customer’s original context. Its limitation is that simplicity does not remove plan boundaries: inbox counts, reporting history, user caps and workflow depth still matter. Confirm the chosen monthly or annual subscription and any extra inbox charge at checkout; do not treat a displayed per-user figure as a complete team quote.
A useful trial asks two agents to work on the same conversation, involve a colleague and return to a previously resolved question. Inspect assignment clarity and internal notes. Then ask a manager to find the reason for the repeat contact using the proposed reporting tier.
Intercom
Intercom combines Messenger, a shared inbox, tickets and a help center with Fin AI Agent. Advanced adds workflow automation and round-robin assignment, while Expert introduces features including service level agreements and identity management. This makes it relevant when support is closely connected to an application’s messaging experience.
Its cost has two main parts: teammate seats and usage. Fin is advertised at USD 0.99 per outcome. An outcome can include a confirmed resolution, no further help requested after an answer, or completion of a procedure including a handoff. That definition is broader than counting only explicit customer confirmations. Some outbound and messaging channels have separate usage fees.
The advantage is a connected AI-to-agent workflow; the limitation is budgeting and governing those outcomes. Before choosing it, replay an ambiguous question, an unavailable answer and a case that requires a person. Agree how your team will audit billable outcomes and check the exact annual or monthly seat plan rather than estimating from AI cost alone.
Zoho Desk
Zoho Desk’s editions cover email tickets, assignment rules, workflows and escalations, with broader messaging, knowledge and reporting in higher tiers. Its work modes organize tickets using factors such as due time, priority and CRM information. That is a useful direction when support agents need a structured queue rather than a single chronological inbox.
The pricing page is regional: the version returned during this review showed Indian rupee rates while offering several currency choices. Those figures should not be converted into an assumed USD subscription. AI also has deployment boundaries: the page distinguishes bringing your own model key from Zoho-provided options and identifies data-center availability for providers.
The strength is configurable ticket handling; the limitation is confirming the edition, region and integration assumptions behind your proposed workflow. Ask an agent to process an overdue account issue and an administrator to revise its escalation. Confirm where customer content goes if an AI provider is enabled and who maintains any separately billed model account.
How to make the shortlist useful
Build a small case set before opening trials. Include an ordinary question, a reopened issue, a complaint needing approval and a request that cannot be answered from published knowledge. Use anonymized material and the same expected outcome in every product. Compare whether the agent can identify the next action and whether the manager can explain the history afterward.
Test knowledge maintenance separately from answer generation. Assign an owner to a policy article, change an important condition and ask how agents and automated answers receive that revision. A polished response based on an outdated policy is still a failed support process. Your evaluation should reward traceable sources and a safe handoff rather than confident wording.
Prepare three budget scenarios using your own volumes: today’s operation, additional agents and a busy period with more automated interactions. Keep seats, AI units, paid channels, integrations and onboarding in separate lines. Do not compare a Freshdesk session with an Intercom outcome as if they represented identical work. Ask vendors to explain disputed usage with an example matching your support pattern.
Finally, test exit and ownership. Export a sample of ticket history, attachments and knowledge, then inspect whether an account can be reassigned when an employee leaves. Establish who can publish knowledge, alter automation and access sensitive conversations. The selected system should make those responsibilities easier to maintain, not leave them hidden in the original implementer’s account.
