Microsoft 365
Microsoft 365 connects Word, Excel, PowerPoint, and related services under business subscriptions. Offline use should be prepared and checked before travel rather than assumed from successful online editing. Workspace suits teams comfortable making shared cloud documents the working copy. Confirm who owns files, what an external reviewer can do, and how a departing employee’s material remains available.
LibreOffice
LibreOffice is an open-source installed suite with Writer, Calc, Impress, Draw, Base, and Math. It is a useful starting point when local document ownership and avoiding recurring application-license fees matter more than purchasing an integrated company-services platform. Its license and downloadable software are separate from any commercial support arrangement you may choose.
The strength is a broad local toolset; the operational cost is maintaining a dependable workflow around it. Do not interpret a no-cost application license as automatic shared storage, live browser coediting, account administration, or migration assistance. Those requirements need their own solution. Evaluate the actual documents exchanged with customers, including page breaks, charts, comments, and formula results. LibreOffice is worth considering for organizations prepared to standardize templates and support local applications. Keep an agreed master format and a repeatable delivery check so people know whether the editable source or exported PDF is the authoritative version.
ONLYOFFICE
ONLYOFFICE Desktop Editors provides document, spreadsheet, presentation, and PDF editing on Windows, macOS, and Linux. The official desktop FAQ describes it as free for personal and professional use. It can edit local files and connect to services such as Nextcloud or ONLYOFFICE for collaboration. Its emphasis on DOCX, XLSX, and PPTX makes it relevant to teams whose exchange format is already set.
The important boundary is deployment. Desktop Editors, the Docs editing engine, and the surrounding collaboration products are different components. A free desktop download does not include a fully operated company document service. Docs Enterprise can run on your infrastructure, bringing responsibility for integration, capacity, updates, access control, and the appropriate commercial package. Optional AI providers introduce another cost and data-flow decision. Shortlist ONLYOFFICE when you want to retain a chosen file platform while adding editors. Test the connector and permissions together with editing, rather than judging the desktop application in isolation.
WPS Office
WPS Office groups document, spreadsheet, presentation, and PDF work in a consolidated interface, with desktop, mobile, and online offerings. This can appeal to users who prefer one application family for common file work and do not need the full organizational-services scope of another suite.
The limitation is understanding what the selected offer covers. The purchase page explicitly notes a PC-and-Android pricing scope and describes daily usage limits for Pro+ AI tools. A feature advertised elsewhere on the website should not be assumed to be included on every platform or plan. Verify the business-use terms, account requirements, PDF operations, storage, and devices at checkout. WPS Office belongs on the shortlist when its interface fits the user’s daily workflow, provided a representative file roundtrip and the intended commercial license both pass review.
How to evaluate an office suite
Build a small acceptance pack from real work: a long document with headings and comments, a spreadsheet with important formulas and charts, and a slide deck using the company fonts. Make copies with confidential information removed. Open, edit, save, and reopen each file in the applications used by the sender and recipient. Compare values as well as appearance.
Next, rehearse collaboration with an internal editor and an external reviewer. Ask them to suggest a correction, resolve a comment, recover an earlier version, and deliver a final copy. Include a disconnected laptop if offline work matters. Record where files live and what happens when two people make changes independently. This reveals whether the suite supports your process or requires a new one.
Calculate cost for the same people and responsibilities. Include annual commitments, taxes, storage, support, administration, migration, specialist add-ins, and any separately billed AI service. A local suite may lower application spending while requiring more operational coordination. A cloud bundle may replace several purchases, but only if those included services are actually used.
