Small business accounting software needs to connect everyday activity with trustworthy books. Sending an invoice is one part of the job; matching bank transactions, handling bills, giving an accountant access and understanding what remains unpaid are equally important. The right shortlist depends on the business model and country edition, not just the lowest promotional price.
QuickBooks Online, Xero, FreshBooks, Zoho Books and Wave are useful candidates for different needs. We reviewed their official pricing and documentation on October 8, 2026. This is a software workflow comparison, not tax or accounting advice. Prices, payment services and regional features must be matched to the actual business location before a purchase.
Define the books you need to maintain
Start with one representative month: invoices, supplier bills, receipts, bank transactions and the reports your accountant needs. QuickBooks Online
QuickBooks Online is worth evaluating when the business needs income and expense tracking, invoices, reports and collaboration with an accountant in one cloud environment. Its current US pricing surface distinguishes a Free offering from paid Simple Start, Essentials, Plus and Advanced packages. Do not assume an older description of the plan lineup still captures the current options.
The reviewed US Free plan lists one user, no accountant access, one connected bank and two invoices per month, with a qualifying QuickBooks Payments condition for unlimited invoices. Simple Start lists one user and access for two accountants. More expensive tiers raise user capacity and change the available capabilities.
The US page displays introductory discounts separately from regular monthly prices. A useful quote should identify USD, the post-promotion amount, renewal conditions and taxes. Payments and payroll involve their own eligibility and costs. Choose a plan around the intended bookkeeping and review process; a free account that cannot give the accountant access may be the wrong economy for a business needing regular professional collaboration.
Xero
Xero’s US plan page highlights no per-user licence fees, invoices, bills and bank reconciliation. That makes it a relevant candidate when several people or advisers need access to the same books. The practical benefit is collaborative work around one record, provided user permissions and responsibility for changes are established.
The reviewed US Early plan permits 20 invoices and five bills, and notes that transactions from app partners can contribute to the invoice limit. Established adds capabilities including multiple currencies and project time and costs. Country editions differ, so these US package boundaries should not be applied to another market without verification.
The current US offering separates a three-month promotion from normal monthly prices and renews monthly. Add-ons, usage charges and payment fees are outside the base discount unless specifically included. Evaluate bank-feed compatibility and a realistic volume of bills before choosing Early. No per-user licensing is attractive, but invoice limits and required modules may still make a higher package necessary.
FreshBooks
FreshBooks is particularly relevant for a service business connecting client work with invoicing. Its product and pricing material combines invoices, estimates, expenses, projects and time tracking. This can make the daily workflow coherent for a consultant or agency that wants to turn delivered work into a bill and monitor payment.
The key limit is billable clients. Lite lists five, Plus 50, and Premium and Select unlimited. The FAQ says active and archived clients count toward the limit, so it is worth understanding the record lifecycle before assuming the lowest tier fits. The reviewed plan table places accountant access in Plus, and additional team members are an extra charge.
The current page advertises promotions alongside regular USD amounts and separate monthly or yearly billing. Treat the promotion as a temporary offer, and check its eligibility, duration and subsequent price. Select is custom priced. Test the reports and accountant workflow as well as invoice appearance; an appealing client experience should be backed by books that the business can reconcile and review.
Zoho Books
Zoho Books offers accounting packages with increasing workflow depth. The current US comparison includes a Free plan with one user plus one accountant, followed by paid plans that expand access and capabilities. In the reviewed material, functions such as multi-currency transactions, inventory and project profitability depend on the tier.
Regional selection is essential. The generic pricing route and the dedicated US route displayed different price tables during research. Those are not interchangeable quotes. The US Free FAQ sets a USD 50,000 financial-year revenue threshold and an allowance of 1,000 invoices annually. Use the edition for the business’s country rather than assuming those terms apply worldwide. A translated interface alone does not prove that the relevant local workflow is covered.
Ask for a clear package boundary around bank feeds, inventory, automation and user access. Paid subscriptions can show monthly rates and lower monthly equivalents billed annually; compare the full commitment in the displayed currency. Zoho Books belongs on the shortlist when its chosen edition and surrounding business tools fit the operating process. Demonstrate the required integration instead of assuming every Zoho application is bundled.
Wave
Wave is a practical candidate for very small businesses in its supported markets. Its Starter plan provides a free base for estimates, invoices, bills and bookkeeping records. Pro adds features including automated transaction import and additional operational conveniences. The decision is whether the manual work left in Starter is manageable for the business.
Country scope is a firm boundary. Wave’s official notice says product and customer support outside the United States and Canada were discontinued. It should not be presented as a global accounting recommendation. Payments are a separate eligibility decision: subscribing to Pro does not automatically qualify the business for online payment processing.
The current page explicitly distinguishes USD and CAD. It lists annual Pro prices of USD 190 or CAD 250 and says subscriptions are per business, not per account owner. Processing, payroll and bookkeeping services have separate costs. Confirm supported banks and the currency appropriate to the business. Wave makes sense when the regional fit is clear and the required accounting process remains within its capabilities.
How to make a sound shortlist
Start with country and accountant fit. Ask the person reviewing the books which edition, reports and exports they need. Check available bank connections and the business’s invoicing requirements. Treat these as qualification criteria before comparing visual design or introductory discounts.
Compare the full first year and renewal year. Put the regular subscription, seats, payment fees and optional services in separate lines. A temporary discount is relevant to the first few invoices from the software vendor, not necessarily to the long-term operating cost. Distinguish monthly renewal from an annual commitment expressed as a monthly equivalent.
Plan the move carefully. Define which opening balances, outstanding invoices, bills and historical records will be transferred. Have the appropriate accounting owner review the migration method and reconciliation. A successful import screen does not prove that the resulting books are correct. Keep a clear record of what moved and what remains in the prior system.
Give permissions a purpose. Separate preparation, approval and review where the business needs those roles. Confirm that a bookkeeper can perform everyday tasks and an accountant can obtain the necessary information without sharing the owner’s login. Document who investigates a transaction that does not match automatically.
A practical evaluation checklist
- Use sample records to follow an invoice from draft through payment and reconciliation.
- Enter a supplier bill, receipt and credit, then inspect how each appears in reports.
- Give the accountant the intended access and confirm the required exports.
- Check client, invoice, bill, user and currency limits against a busy month.
- Verify the local edition, banking support, regular renewal amount and separate service fees.
Choose for the operating model
Shortlist QuickBooks Online for a broader cloud accounting workflow, Xero for shared books without per-user licence fees, FreshBooks for client-service billing, Zoho Books for a suitable regional edition and tiered workflows, and Wave for a simple supported US or Canadian business. The best fit produces a reviewable accounting record while keeping daily work and total cost manageable.
