A feedback survey, a lead qualification form and an internal request form can all look like a list of questions. Their operating requirements are different. A researcher needs useful answers and credible analysis; a marketer needs an appropriate respondent journey; an operations team needs complete records that reach the right person. Buying a form builder without naming that outcome makes feature lists difficult to interpret.
Typeform, Jotform, SurveyMonkey, Tally and Microsoft Forms cover these needs from different starting points. This comparison uses their official product, pricing and documentation sources checked on October 8, 2026. It offers a practical shortlist, not a claim of hands-on testing or measured improvements in completion rates.
Start with the information you need
Separate the respondent experience from the workflow after submission. Conditional questions can reduce irrelevant work, but someone still needs to define required fields, investigate incomplete records and decide how answers are used. If submissions become sales opportunities, compare the receiving process in our CRM software comparison. A form and a CRM solve different parts of that journey.
The quick difference
| Product | Best fit | Useful strength | Buying boundary |
|---|---|---|---|
| Typeform | Branded interactive questionnaires | Conditional logic and respondent presentation | Monthly responses, seats and branding tiers |
| Jotform | Operational intake with varied fields | Templates, widgets and payment integrations | Submission and storage limits; enterprise quote |
| SurveyMonkey | Repeatable survey research | Survey analysis and team permissions | Annual responses and minimum team seats |
| Tally | Flexible forms with a generous free base | Logic, calculations and integrations | Fair use; paid branding and administration |
| Microsoft Forms | Microsoft-centered internal collection | Forms, quizzes and organizational access | Account type and tenant settings |
Typeform
Typeform is a strong candidate when the questionnaire is part of the public brand experience. Its Core pricing matrix includes conditional logic, webhooks and integrations, with higher packages adding branding controls and analysis features. That combination is useful for qualification journeys where the next question should depend on the previous answer. The benefit comes from thoughtful question design; an attractive interface alone cannot rescue an unnecessary or confusing survey.
The important constraint is response capacity. The current matrix lists 100 monthly responses and one user for Basic, 1,000 responses and three users for Plus, and 10,000 responses and five users for Business. Unlimited forms do not mean unlimited submissions. Branding removal belongs to Plus and higher in the reviewed matrix.
The official page exposes different numeric prices in its overview and comparison sections. We therefore omit a headline subscription amount. Obtain a consistent USD quote identifying monthly or annual billing, included responses, add-ons and seats. Enterprise is sales-led. For a campaign with unpredictable demand, evaluate what happens at the response limit before distributing the link.
Jotform
Jotform deserves attention when the form is an operational intake surface rather than primarily a research instrument. Its official material describes templates, widgets and payment integrations. A service request might need structured answers, an attachment and an acknowledgment, while an event registration could require a different combination. The relevant advantage is having several collection tools available in one builder.
Its plans increase submission and storage allowances as you move from Starter through Bronze, Silver and Gold. Starter is free and carries Jotform branding; paid subscriptions remove that branding. The pricing FAQ distinguishes ordinary Starter capabilities from specialized requirements and explains that Enterprise uses custom pricing. Monthly and yearly subscriptions renew at their respective intervals.
Ask for a written breakdown of submissions, file storage, payment-related allowances and collaboration for the intended account. The extracted page did not provide a dependable localized numeric plan table, so no specific amount is quoted here. Try a realistic attachment and export during evaluation. A broad feature catalogue matters less if the resulting record needs substantial manual cleanup.
SurveyMonkey
SurveyMonkey is the most research-oriented option in this shortlist. The reviewed team offering includes shared brand assets, roles and permissions, logic features and analysis tools. Team Premier adds capabilities such as block randomization, multilingual surveys and crosstabs. These distinctions matter when several people design surveys and compare results across recurring studies.
Capacity and commitment need careful comparison. Team Advantage currently lists 50,000 responses per year and starts at three users, billed annually. The page delivered localized CHF pricing during research; it should not be rewritten as a USD offer. Enterprise requires a sales discussion. Check how response allowances and additional responses work in the actual subscription.
Choose the analysis requirements before choosing the package. A team collecting simple contact details may not need advanced survey analysis, while a recurring research program may find a lightweight form insufficient. Ask the analyst to reproduce one planned comparison with sample data. Randomization and statistical tools support a study design; they do not make a convenience sample representative of a whole market.
Tally
Tally offers unlimited forms and submissions on its free tier, subject to fair usage. Its pricing page includes conditional logic, calculations, file uploads and integrations with services such as Google Sheets, Notion and Airtable. This makes it worth evaluating for teams that want flexible data collection before committing to a substantial subscription.
Paid features serve different needs. Pro includes branding removal, custom domains, team collaboration and partial submissions. Business adds retention controls and email verification. Do not assume that collecting an unfinished response is appropriate for every questionnaire: explain the collection experience and decide which incomplete records should be retained.
The pricing page and help pages display different numeric Pro amounts. Tally also says billing currency is USD or EUR according to location, with monthly or annual prepayment. We avoid presenting one amount as universal. Confirm currency, billing period and the current checkout before subscribing. Fair use remains a real boundary even when the plan says unlimited; a high-volume workflow deserves an explicit capacity discussion.
Microsoft Forms
Microsoft Forms is a sensible first evaluation for a team already using Microsoft accounts. The product supports surveys, polls and quizzes, and its documentation explains limiting responses to people in an organization or specified internal users. That can make a routine employee questionnaire easier to administer within an existing identity environment.
Account type matters. Microsoft documents up to 200 questions per form and sharply different response limits for organizational and personal accounts. Free personal accounts have a 200-response limit; paid personal accounts have 1,000. Those figures should not be confused with organizational capacity. Some government environments have separate limits.
For a public questionnaire, confirm that external respondents can actually access the form under the tenant’s policy. For an internal one, check whether names are recorded and whether one response per person is required. Assess Microsoft 365 entitlement and local subscription currency rather than assigning Forms an invented standalone business price. It is attractive for straightforward collection, but buyers should demonstrate any advanced research or branding requirement before assuming it fits.
How to choose a workable collection process
Map the complete record. Write one example of a valid submission, including attachments and follow-up actions. Define which fields are essential and which are merely convenient. Every unnecessary question imposes work on the respondent and creates another field to maintain downstream.
Budget the busiest month. Estimate submissions, storage and editors using a campaign peak rather than an annual average. Compare monthly limits with annual response pools and ask what happens when capacity is reached. Keep the quoted currency and billing commitment visible; a monthly equivalent on an annual contract is not a monthly cancellable subscription.
Give the data an owner. Decide who can export answers, revise questions, remove records and change integrations. Establish an archive plan before the questionnaire is widely shared. Exporting a spreadsheet is only useful when question labels, timestamps and answer formats remain understandable afterward.
A practical evaluation checklist
- Build one realistic form with a conditional branch, an optional field and an intentionally invalid answer.
- Complete it on a phone and with a keyboard; check labels, error messages and long answer fields.
- Verify external or internal access using the intended respondent account type.
- Export sample responses and confirm that the receiving team can use them without retyping.
- Compare peak usage, retention needs, branding and editor access against a dated quotation.
Choose according to the job
Shortlist Typeform for a deliberately designed branded questionnaire, Jotform for varied operational intake, SurveyMonkey for survey analysis and research collaboration, Tally for flexible forms with a generous free starting point, and Microsoft Forms for straightforward collection in an existing Microsoft environment. The best choice produces useful answers and a manageable follow-up process within the actual plan limits.
