A platform that works for an internal stand-up may be awkward for a client workshop or a meeting involving a physical conference room.
Zoom Workplace, Google Meet, Microsoft Teams, Cisco Webex and Whereby approach that workflow differently. This comparison focuses on live business meetings, using official sources checked on October 8, 2026. It does not rank video quality or claim a hands-on benchmark. Buy for the meeting you actually run
Write down the regular duration, participant count and guest profile before comparing subscriptions. Separate the number of licensed organizers from the number of invited participants. Then identify whether recordings, room hardware, dial-in access or an event format are necessary. A webinar, a phone system and an ordinary interactive meeting may use different products or licences even when they share a vendor name.

Zoom Workplace
Zoom Workplace combines Meetings with other collaboration tools, including chat, documents and whiteboards. The important buying question is whether your team needs a dedicated meeting workflow or intends to adopt more of that suite. For a business coordinating calls across several customer organizations, the meeting experience and organizer controls deserve more attention than the length of the overall feature list.
Zoom’s documentation gives Basic accounts a 100-participant limit and a typical 40-minute meeting limit. A free host on a paid organizational account does not automatically receive a paid host’s meeting allowance. Capacity depends on the account and user type; larger meetings can require a different licence or add-on.
Build a quote around the people who organize calls, the longest regular meeting and the required recording capacity. The current pricing surface varies by offer and region, so we do not publish a universal paid-seat amount. Confirm currency, monthly versus annual commitment, storage and any separate webinar, phone or room requirements. A useful pilot includes an external guest who has never joined one of your meetings.
Google Meet
Google Meet is a natural candidate when the team already uses Google Workspace. Its product page emphasizes meetings in a browser and connections to the surrounding Workspace experience. For an organization that plans work in Google Calendar and collaborates in Google documents, this can reduce the number of separate systems that organizers need to maintain.
The free personal-account offering supports up to 100 participants. Google documents a one-hour limit for meetings with three or more participants in that offering. Those limits should not be confused with the entitlements of a specific Workspace edition. Recording and other premium meeting functions need to be checked against the selected account and administrator settings.
Price the actual Workspace subscription and any relevant premium functionality in the buyer’s region. Do not assume every user needs the same upgrade merely because one person records workshops. Evaluate a guest invitation, screen presentation and the intended recording-sharing process. Meet makes particular sense when its place in the suite helps the team, but suite familiarity should not substitute for checking a required meeting feature.
Microsoft Teams
Microsoft Teams is worth evaluating when business work already centers on Microsoft 365. Meetings sit beside communication and collaboration rather than functioning as an isolated destination. That can be useful for recurring internal work, provided ownership of files, conversations and meeting artifacts is clear.
The reviewed US Teams Essentials page lists USD 4 per user per month, paid yearly, with an automatically renewing annual subscription. Its FAQ describes meetings up to 30 hours, up to 300 participants and 10 GB of cloud storage. Essentials is not equivalent to every Microsoft 365 business bundle, and Microsoft sells combinations with different application and Teams entitlements.
Confirm that the quoted suite actually includes Teams and that the needed meeting, recording and administration features are in that licence. Evaluate external guest access separately from internal users. Premium meeting features or Copilot capabilities should not be assumed to follow from a basic meeting subscription. Teams is strongest as a shortlist candidate when existing Microsoft administration and work habits make its broader context useful.
Cisco Webex
Cisco Webex is relevant for organizations considering meetings as part of a wider hybrid collaboration environment. Its current pricing site separates Meetings from Calling, Webinars and Events, and other offerings. That distinction helps a buyer avoid treating a general Webex subscription as a guarantee that every communications product is included.
The reviewed US free meeting plan allows up to 100 attendees and meetings up to 40 minutes. Paid options should be compared for the required meeting capacity, recordings and commercial commitment rather than by assuming the free plan’s allowances scale uniformly. A workplace with conference rooms should also identify hardware and room-related responsibilities in the proposal.
Use a representative hybrid meeting as the evaluation scenario: several remote participants, someone presenting in the room and an external organizer or guest. Ask who supports each component if sound or access fails. Obtain region-specific currency and billing terms for the actual solution. Webex belongs on the shortlist when the organization wants to assess the whole meeting environment, not merely purchase a larger participant number.
Whereby
Whereby Meetings concentrates on browser-based rooms. Its host and room model is particularly relevant to consultants and small teams that want a recognizable place to meet clients. Keep this product separate from Whereby Embedded, which addresses adding video into another application and has a different commercial use case.
The current Meetings comparison lists one room, four participants and 30-minute meetings on Free. Pro has one host, three rooms and capacity for 100 participants; Business starts at three hosts and lists 200-participant capacity. The matrix distinguishes total capacity from active video: Pro lists 12 active videos and Business 24. A capacity number is therefore not a promise that everyone appears on camera simultaneously.
Recording, branding and administration require a plan review. The page exposes monthly and annual pricing contexts, so match any quoted amount to the selected billing period and host count. Pilot an external guest and a screen-sharing session in the browsers your clients use. Choose the simpler room workflow when it covers the actual meeting requirements.
How to compare meeting subscriptions
Count organizers and meeting types. List who starts calls, who only attends and who needs advanced functions. Include parallel meetings and handovers when an organizer is absent. A low seat price becomes misleading if the operating model requires extra licences or a separate event product.
Define the recording workflow. Decide who may record, who receives the file, how long it should remain available and who can remove it. Check storage and sharing in the proposed package. Treat an AI summary as a draft for review; it should not replace an approved record of decisions.
Make guest access part of the decision. Invite someone outside the organization through the real invitation method. Observe account requirements, browser permissions, waiting-room behavior and presentation controls. The meeting succeeds only if people can arrive and participate under the policies you actually enforce.
A practical evaluation checklist
- Run a representative internal meeting and a separate client session with unfamiliar guests.
- Check the longest expected duration against the organizer’s actual licence.
- Compare total participants, simultaneous video and conference-room needs separately.
- Demonstrate recording access, captions and screen sharing on the intended plan.
- Document local currency, billing commitment, add-ons and support ownership in one proposal.
