An employee photographs a receipt, a manager approves it, and finance reimburses the claim. That simple sequence becomes harder when the receipt is incomplete, the project code is wrong, or the payment crosses currencies and entities. Expense software should make those exceptions visible while keeping ordinary claims easy to submit.
Expensify, Zoho Expense, SAP Concur, Rydoo and Spendesk offer different combinations of capture, policies, approval and payment workflows. This comparison uses current official materials checked on October 10, 2026. It explains documented capabilities and billing boundaries without inventing receipt-recognition tests, reimbursement speed measurements or savings figures.
Expense reporting is not the general ledger
Expense management starts with employee spending and continues through review, reimbursement and export. Accounting software records the broader financial books. Also distinguish employee-paid claims from corporate card purchases and supplier invoices. They have different funding and approval requirements. A wider spend platform may handle all three, but your quoted package and regional payment eligibility must cover the workflows you intend to use.

Expensify
Expensify combines receipt capture, expense reports, reimbursement and accounting connections, with conversations around expenses. Collect provides an entry business workflow; Control adds more advanced policies, approval flows and enterprise integrations. It is useful to distinguish the workspace plan from the subscription used to bill that workspace.
Strengths: a claim can retain its receipt and discussion in the same workflow instead of sending clarification through a separate email thread. Accounting integration can also reduce repeated entry when the finance team has configured the mappings properly. The right evaluation follows a claim that needs correction, not just a perfect receipt.
Limitations and cost: official billing documentation specifies Collect at USD 5 per unique member monthly for eligible new customers, regardless of activity, without an annual commitment. Control uses active-member billing and has different commitment and card-usage conditions. The lowest advertised Control rate depends on an annual subscription and qualifying US Expensify Card spending. Legacy customers have separate rules. Confirm your product version, membership count, commitment and country eligibility rather than comparing the promotional floor with another vendor’s unrestricted price.
Zoho Expense
Zoho Expense covers receipt capture, reports, mileage, multi-currency expenses, approvals and related travel functions. Its reviewed US pricing page distinguishes Free, Standard, Premium and Custom. The free plan has a three-user maximum; paid Standard and Premium have five-user minimums, while Custom starts at a larger organization size.
Strengths: a clear report-and-policy workflow fits teams that need more structure than receipt folders and spreadsheets. The product is also relevant when Zoho applications are already part of daily operations. Evaluate the connection to your actual accounting edition rather than assuming products with matching vendor names share every field automatically.
Limitations and cost: receipt scanning has explicit monthly quotas even when manual expense creation remains available. The current page lists different scan allowances for Free, Standard and Premium. US Standard displays USD 4 per user monthly or USD 3 with annual billing, before local taxes. Advanced approvals, multi-entity requirements and travel services need plan-level review. Request the country edition, reimbursement support and implementation scope; global currency capture does not itself establish local payment or tax suitability.
SAP Concur
SAP Concur’s Concur Expense supports receipt and transaction capture, policy checks, approvals, reimbursement and reporting. The official page connects expense management with the broader travel ecosystem and integrations for ERP, HR and accounting. That breadth is relevant to organizations where expenses need to follow established corporate policies and financial structures.
Strengths: a connected process can bring travel-related records and expense administration into the same procurement discussion. The practical value depends on clear ownership between employees, managers, finance and system administrators. Include each role in the demonstration so that approvals and accounting export are evaluated together.
Limitations and cost: the reviewed US page shows Base starting at USD 7 per report and Plus starting at USD 11 per report, with prices varying by monthly commitment. Premium is custom-priced. ExpenseIt and other capabilities differ by package; do not treat the complete product page as the Base entitlement. Ask what counts as a billable report, which travel services are included and how implementation or integrations are charged. A report-based price needs your report volume, not only employee headcount.
Rydoo
Rydoo emphasizes mobile expense capture, receipts, mileage and policy workflows. Its current packages are Essentials, Pro, Business and Enterprise. Essentials has a single approval flow, while Pro adds capabilities such as per diems, configurable policies, accounting integrations and a multilevel approval flow. Higher packages expand integration and administrative scope.
Strengths: the focused expense workflow suits employees submitting claims across locations and finance teams managing recurring review rules. Per diems and country-specific digitization materials are useful evaluation starting points when travel is common. Inspect the exact country guidance and expense types rather than accepting a broad compliance label as an answer.
Limitations and cost: Essentials and Pro start at five users, with monthly and annual amounts shown in EUR and USD. Business and Enterprise have different minimum active-user counts and custom prices. Rydoo’s active-user billing policy applies to those higher plans, and an approver or report viewer can be active under its definition. Do not extend that billing rule to every package. Confirm ERP access, SAML SSO and advanced approvals against the purchased tier, plus the local card and reimbursement arrangements.
Spendesk
Spendesk combines employee claims with company cards and broader spend controls. Its current Foundations package lists receipt collection, OCR, matching, reimbursements, budgets and accounting connections. Procurement, accounts payable, more advanced workflows and other functions appear as configurable add-ons rather than a single universal package.
Strengths: it merits evaluation when finance wants employee expenses and controlled company spending in one operating process. A receipt can be connected with the corresponding spend, while cards and approval rules address a different problem from reimbursing an employee after purchase. Keeping those records together may reduce fragmented review, provided the package fits the organization.
Limitations and cost: Spendesk describes a fixed monthly platform fee plus variable transaction usage. Transactions include card purchases, invoice payments and expense claims; users are unlimited rather than billed as active seats. Numeric rates require a quote. Confirm payment eligibility, settlement currencies, entities and the transaction definition. The page also advertises multi-entity functions in Foundations and a deeper multi-entity add-on, so ask which exact controls belong to each. Wider spending scope does not remove the need for a separate general ledger.
How to evaluate expense software
Use an exception-rich sample. Prepare a personal-card receipt, a corporate-card item, mileage, a foreign-currency claim and a missing receipt. Use permitted sample data. Check the correction workflow, duplicate handling and what an employee sees when a manager returns a report.
Follow the money separately. Distinguish capturing a claim, approving it, initiating reimbursement and confirming settlement. Ask which countries, banks and currencies support the proposed payment service. A supported expense currency is not proof of a supported reimbursement destination.
Validate the accounting handoff. Export approved records into the intended accounting sandbox or inspect a sample export. Check account code, entity, project, tax, currency, receipt and reversal behavior. A named integration can still need configuration and ongoing reconciliation.
Model the correct denominator. Count registered members, active users, reports or transactions as required. Include occasional travelers and managers who approve without submitting. Compare monthly payments with annual commitments and identify implementation or module fees.
Define responsibility. Name the person who maintains policies and user records, the person who resolves failed exports, and the approver for unusual claims. Automation should expose an exception and its next action rather than conceal it inside a completed status.
Evaluation checklist: capture quality; corrections; policy exceptions; approvals; country eligibility; settlement; accounting export; audit trail; user lifecycle; exact billing unit.

Expensify suits connected receipt and expense workflows; Zoho Expense is relevant for structured administration with transparent entry tiers. SAP Concur merits evaluation for a broader travel and expense process, while Rydoo emphasizes mobile capture and policy depth. Spendesk belongs on the shortlist when company spending and employee claims should share controls. Choose using the complete claim-to-ledger process and your actual regional requirements.
